From a request to a booked visit

  1. Patient

I’d like to make an appointment for Friday.

  2. ScribeSync

Dr. Lee has 10:30 available. Does that work for you?

  3. Patient

    Yes, that would be great.

Refill requests go to your connected EHR inbox. If that connection isn’t available, ScribeSync takes a message for your team.

The calls your office handles every day.

Give ScribeSync a place in your existing process. You choose what it handles and what comes back to your team.

Check insurance, then book the visit.

If your practice checks insurance before booking, ScribeSync does that first. It checks your connected calendar, offers available times, and books the visit. Patients can also reschedule or cancel. Appointment types, provider availability, and your office’s booking rules guide each change. You decide what happens when an insurance response or booking request needs staff review.

Send refill requests to the provider’s EHR inbox.

With an EHR integration, ScribeSync gathers the medication, pharmacy, and details your refill policy requires, then sends the request directly to the provider’s inbox. If the patient needs an appointment first, it follows that rule. Without an integration, it takes a message for your team. The provider approves the prescription.

Outbound calls

Bring patients back for their next visit.

Call with appointment reminders, reach patients due for a recall, and follow up when it’s time to schedule again. ScribeSync can book the visit during the call in your connected system. Your practice chooses who to contact, when to call, and when your staff should step in.

Get the intake done while you have the patient on the phone.

Collect the patient and insurance details your office needs, then help the patient complete intake. ScribeSync can text a link during the call so the patient can upload a photo ID, insurance cards, or intake documents. Your practice chooses what to collect and where it should go.

Text a payment link while you have the patient on the phone.

Make payment reminder calls or help with a balance during an incoming call. ScribeSync texts the patient a payment link and helps them pay through your connected payment system. Your office sets which balances it can handle and when billing staff should get involved.

Get hospital calls to the right person.

Take the caller’s details, the reason for calling, and a callback number. Admission messages, requests from another clinician, and calls that need the on-call provider follow the contacts and escalation instructions your practice provides.

Handle calls about lab results.

Patients may be asking for a report, checking whether results are back, or requesting a callback. ScribeSync follows your identity-check and result-release instructions, and sends questions that need a clinical explanation to your team.

Help with records, referrals, and routine questions.

Collect the details for a records request, referral question, or billing inquiry and send it to the right staff member. ScribeSync can also answer office questions and help patients update their information.

See the value for your office.

Start with the calls your office receives and the share you miss. Then estimate completed visits, staff time saved, and costs you could avoid.

Before ScribeSync fees and practice expenses. Time value is not automatically cash savings.

Only count visits you would otherwise lose. Allow for your existing callbacks and appointments that do not take place. All starting numbers are editable examples, not industry benchmarks or measured results.

How we calculate this

Daily calls × workdays = monthly calls. Monthly calls × missed-call rate = missed calls. Missed calls × completed-visit rate = additional completed visits. Collections = completed visits × collected value. Add staff hours saved × hourly staff cost and other costs avoided for the monthly total. Multiply by 12 for the annual estimate.

Annual values assume the same activity for 12 months. Time value is not automatically payroll savings or new revenue. Collections are before practice expenses, product fees, and taxes. They are not profit.

Compare products separately. Adding estimates together can count the same staff time or patient payment twice.

Keep the number your patients already know.

Forward calls from your current phone service to ScribeSync, or transfer your number to us. Forwarding can cover all calls, busy periods, or after hours. The setup depends on your phone service.

Set it up the way your office works.

You choose which tasks to turn on, what information to ask for, and when to involve a person. We’ll go through your booking, insurance, refill, payment, intake, and on-call instructions with you and test the calls before you start.

How would this work in our office?

Do we have to change our office phone number?

No. You can forward calls from your current number or transfer that number to ScribeSync. The setup depends on your phone provider.

Can it book directly in our scheduling system?

Yes. It checks availability and books in your connected system. eMedicalPractice and eDental are connected today. Other integrations can be arranged.

Can it verify insurance before booking?

Yes. You can make insurance verification part of the booking process. Your policy determines how to handle an incomplete or unclear response.

Can it send payment and document links while the patient is on the call?

Yes. Once those connections are set up, ScribeSync can send the appropriate link and help the patient complete the payment, intake, or document step during the call.

Can we use it only for overflow or after-hours calls?

Yes. You can keep your usual phone coverage and use ScribeSync when the office is busy or closed.

Where do refill requests go after the call?

With an EHR connection, the request goes directly to the provider’s inbox with the medication, pharmacy, and details your policy requires. Without a connection, ScribeSync takes a message for your staff. Your provider approves the prescription.

What if a caller needs a person?

It follows your transfer, callback, or on-call instructions. We’ll set up the right contacts and what to do if someone is unavailable.

Can it call patients due for a recall or follow-up visit?

Yes. ScribeSync makes reminder, recall, and follow-up calls and can book directly in your connected schedule. Your office decides which patients to contact and the instructions for each type of call.
