Patient payment reminder calls

Give patients a reminder and an easy way to pay.

A patient may have missed the bill or meant to pay later. ScribeSync can call with a reminder and text a payment link during the conversation, using the balances and instructions your billing team approves.

How it works

Patient payment reminder calls, from start to finish

  1. 01

    Set the reminder instructions

Choose accounts, contact windows, and how exceptions reach billing staff.

  2. 02

    Call and offer a link

Follow your verification process and payment instructions.

  3. 03

    Review what happened

Check the call result and confirm any collected payment in your connected system.

Choose which balances need a reminder.

Your team supplies the accounts, contact preferences, timing, and instructions. Confirm the patient before discussing account details. Calls that reach someone else or need extra verification follow your office’s rules.

Let your billing team handle the exceptions.

A patient may say they already paid, question the amount, or need to discuss an arrangement. Record the concern and route it to your team. Use the wording and handoffs your office approves.

Keep a reminder separate from a collected payment.

A sent link or promise to pay does not mean money was collected. Review call outcomes and confirm payments in your payment system. Give staff the unanswered questions and accounts that need another look.

Before ScribeSync fees and practice expenses. Time value is not automatically cash savings.

Compare the same eligible balances and collection period with your current recovery rate. A status update or promise to pay is not a collected payment.

How we calculate this

Eligible monthly balances × (expected recovery rate − current recovery rate) = additional monthly collections. Multiply by 12 for the annual estimate. A lower recovery rate produces a negative estimate.

Annual values assume the same activity for 12 months. Time value is not automatically payroll savings or new revenue. Collections are before practice expenses, product fees, and taxes. They are not profit.

Compare products separately. Adding estimates together can count the same staff time or patient payment twice.

Keep working in the systems your team knows.

Payment links use the payment system connected for your office. We’ll confirm where balances come from, how links are sent, and where staff review the outcome. A call outcome alone does not confirm a collected payment.

Common questions

Can you text a payment link during the call?

Yes, through the payment-link workflow connected for your office. Patients review and pay through your payment system.

Can it help when a patient calls us about a balance?

Yes. The same approved balance and payment-link instructions can be part of an incoming call. Questions outside those instructions go to billing staff.

What if the patient disputes the bill or says they already paid?

Record what they tell you and send the issue to your billing team. Staff decide whether the balance needs correction or another action.

Are these the same as insurance AR follow-up calls?

They are different workflows. Patient reminders concern the patient’s balance. Payer AR calls ask the insurer about a claim, denial, or missing information.
