Help the next caller book a consultation.

When your team is with a client, ScribeSync can answer the phone, explain your approved service information, and offer a consultation. Bookings, intake, reminders, and follow-up calls follow your instructions.

How it works

AI receptionist for med spas, from start to finish

  1. 01

    Review your services

Set the booking types, approved answers, and questions for clinicians.

  2. 02

    Connect the calendar

Confirm the scheduling and intake steps your software supports.

  3. 03

    Try a complete conversation

Test an inquiry, booking, follow-up question, and staff handoff.

Turn a service question into a booked consultation.

Answer questions using the service descriptions, pricing information, and office policies you approve. When the caller wants to book, check the connected calendar and offer the right appointment type. Questions about treatment suitability go to your clinical team.

Get the first steps done during the call.

Gather the contact and intake information your office needs. Text a link for forms or requested documents while the caller is still there. Your team decides what to collect and where it should go.

Follow up when someone is ready to choose a time.

Use outbound calls for the inquiries, return visits, and reminders your team approves. A caller can ask another question, book, or reschedule in the same conversation. Your contact preferences and handoff rules guide the next step.

Send the payment link during the conversation.

Offer a link through your connected payment system when your policy calls for a payment. Billing questions and exceptions go to staff. A spoken promise to pay is kept separate from a confirmed payment.

Before ScribeSync fees and practice expenses. Time value is not automatically cash savings.

Only count visits you would otherwise lose. Allow for your existing callbacks and appointments that do not take place. All starting numbers are editable examples, not industry benchmarks or measured results.

How we calculate this

Daily calls × workdays = monthly calls. Monthly calls × missed-call rate = missed calls. Missed calls × completed-visit rate = additional completed visits. Collections = completed visits × collected value. Add staff hours saved × hourly staff cost and other costs avoided for the monthly total. Multiply by 12 for the annual estimate.

Annual values assume the same activity for 12 months. Time value is not automatically payroll savings or new revenue. Collections are before practice expenses, product fees, and taxes. They are not profit.

Compare products separately. Adding estimates together can count the same staff time or patient payment twice.

Keep working in the systems your team knows.

eMedicalPractice and eDental are connected today. For notes, you can also copy and paste into any EHR. Direct booking, inbox routing, and chart transfer need a supported connection. Setup and vendor fees may apply.

Common questions

Will it recommend a treatment?

It uses the service information you approve and can book a consultation. Recommendations, suitability questions, and clinical advice go to your team.

Can it work with our booking software?

We’ll review your scheduling software and confirm the available connection. Direct booking requires that connection. Before it is ready, call details can be passed to your team for follow-up.

Can it answer after we close?

Yes. Set the hours and forwarding rules for evening, weekend, and overflow coverage. The same booking policies and staff handoffs apply.

Can we control the wording and follow-up timing?

Yes. Your office approves the service information, contact timing, and situations that should reach a person before those workflows are enabled.
